Job Description
General Administration

Work with the Operation Administration Support Team to ensure that processes and procedures are being followed accordingly.
Assist with maintaining the personnel tracker and job schedule.
Maintain the operations databases and systems; end user file, travel log, customer file, feedback forms and timesheets, briefings.
Add job briefings to the database to record briefings that have been sent out
Maintain and monitor Employee Travel Profiles on CRM database
Send Vaccination Alerts and update the vaccination list on CRM database and ensure copies of yellow books are kept and maintained
Migrate all operations data from old system to new system and work with both operations and HR teams to ensure in maintaining and auditing on ongoing basis all employee information to minimise discrepancies and ensure records are maintained up to date, accurate, and in compliance with relevant GDPR legislation
Liaise effectively with HR to ensure smooth flow of information between departments
To assist with developing and implementing HR and Operations Initiatives and work to achieve common departmental goals and objectives.
Assist with general office administration duties such as filing, photocopying and printing documents.
Assist with word processing and formatting of applicant CVs for clients if required
Passport and Visa Administration

Work with the Operations Department to manage passports and process visa applications
Track and manage passport renewals
Responsible for updating employee’s Passports to include ensuring we have all engineer’s passports on file, that engineer’s passports which are expiring are renewed.
Passport Photos / Passport scan copies
Assist with Second Passport Applications
Prepare all company letters as required and prepare visa packs for visa applications
Once received ensure all new visas have been saved and updated onto CRM database
